Job Overview

To ensure the highest standard of service excellence throughout the Premises/ Parks that are managed by the General services Department and in relation to Uniform & Laundry. To ensure a smooth but effective operation in relation to the Company Core Process; thus directly impacting on providing support to Colleagues. This function oversees the Uniform & Laundry Operation, the service delivery to Colleagues and the Maintenance and Inventory of Uniform stock and actively seeks for higher efficiencies within the Division.

It is responsible for monitoring and controlling the efficient service delivery by the appointed Service Provider, for continuous development and implementation of process improvement through innovation and ownership. It ensures that the company receives the optimal service from vendors and Service Providers. It is responsible for inventory control and protection of company assets by ensuring any transactions are in compliance with Farah policies and interests.

It monitors appropriate utilization of OS&E within the division to minimize damage, reduce waste and control expenses It also oversees the implementation of training, feedback and continuous development within the division. Personal performance must represent a high level of integrity and utilize the ability to resolve Colleagues’ concerns with the ability to direct corrective action and implement preventive measures.

JOB SCOPE

General

  • To review colleague satisfaction results for the division. To identify trends, to share observations with and provide suggestions for service improvement to the Manager.
  • To openly communicate appropriate and useful information through the available channels.
  • To compile task schedules for the division. To oversee the duty schedule within the division to ensure leave plans support operational readiness and sufficient time off to Colleagues.
  • To ensure applicable policies, procedures and performance standards are being implemented and followed throughout the division.
  • To review accuracy and completeness of checklists and/ or other records within the division and to take appropriate action where required. To ensure any service delivery defects are resolved.
  • To track and monitor expenditures and revenue against departmental targets.
  • To foster and promote a positive working culture among Colleagues and Service Provider staff alike by managing Colleagues and guiding Service Provider staff in a fair and consistent manner. To shadow day-to-day operations alongside Service Provider staff to set a positive example. To conduct regular team briefings.
  • To motivate Colleagues through the effective implementation of incentive, recognition and rewards programs.
  • To conduct performance appraisals for direct report and to review performance appraisals of the department.
  • To administer Purchase Requisitions and Service Requests for OS&E and to coordinates expedition with the respective Buyer.

Training & Development

  • To conduct Colleagues’ and Contractor’s Induction and/or “My start program”
  • To identify and recommend any training needs by the Service Provider.
  • To identify colleague’s training needs within the division and to provide coaching when required. To conduct trainings relevant to applicable policies, SOPs and forms, where required. To coordinate with Training department considering any additional training needs.
  • To oversee the professional development plans and training nominations of the Assistant Manager(s).
  • To monitor training completion by newly joined Colleagues and/ or Service Provider staff within the division and to ensure appropriate record keeping and division compliance of any training audit results.
  • To represent the division while attending trainers meeting and training audits.

Laundry Operation

  • To oversee Service Provider performance and to provide regular feedback to the Service Provider staff.
  • To ensure that SOPs and Forms for Laundry item receiving and issuance (incl. return, replacement) are implemented and are being followed and maintained at all times.
  • To oversee the implementation of appropriate Laundry standards and safety procedures. And to oversee the implementation of safety procedures in the Washing Room. To address inappropriate or unsafe storage of Laundry chemicals and consumables by the Service Provider on the spot.
  • To oversee daily attendance and adherence to grooming standards within the division.
  • To actively participate to the installation of Laundry care procedures for new Laundry items (uniforms and linen) or with new external Laundry Service Providers. To liaise with the Service Provider on product quality issues and to recommend improvements to existing procedures.
  • To participate the facility site inspection / audit of the external Laundry Service Provider . To inform the Service Provider on relevant observations regarding areas for improvement.

Tailoring Service

  • To oversee Service Provider performance based on task completion report / logbook and monthly report.
  • To ensure that SOPs and Forms for Tailoring Requests are implemented, followed and maintained.
  • To oversee the implementation of safety procedures in the Tailoring room. To address potential inappropriate or unsafe behavior or storage of tailoring supplies on the spot.

Uniform Supply

  • To lead and control the material acceptance of purchased Uniforms including physical receiving, inspection and, put-away to respective storage locations and inventory system updates.
  • To perform and/or coordinate monthly inventory stock count activities incl. inventory adjustments and to report inventories timely and accurately.
  • To monitor Uniform transactions and act as gate keeper for any physical movements (issuance, return, replacement and disposal).
  • To track inventory stock levels and provide recommendations on appropriate PAR level settings to achieve stock availability while avoiding overstock or waste by considering the remaining lifespan of Uniforms in circulation.
  • To coordinate Uniform Replenishment requirements with the Assistant Manager.

Quality Service Standards

  • To manage and follow up requests, complaints and suggestions in a timely manner.
  • To ensure company policies, Department and Division relevant SOPs and Forms are available at all Laundry distribution points across Farah facilities and accessible to Colleagues and Service Provider staff.
  • To enforce the execution of company policies, Department and Division relevant SOPs and Forms within throughout the division. To review and update SOPs, Forms and other relevant documents.
  • To address potential unsafe behavior and/or near misses on the spot. Further to record and address any potential health or safety hazards or concerns by informing / consulting the HSE Manager, if required.
  • To ensure site induction and completion of safety training by new Colleagues, new Service Provider and Subcontractor staff at each Farah facility.

KPIs, Inventories And Reports

  • To ensure that any report structure is aligned with the organization’s goals and objectives.
  • To monitor Service Provider monthly task completion against agreed KPI measures.
  • To monitor Service Provider monthly invoice report against volume tracker and rate agreement.
  • To monitor performance against agreed KPI measures and rate performance level using scorecard.
  • To control all Uniform inventory data including shrinkage (loss and damage) for all assigned facilities and to report monthly inventory to Finance.
  • To expedite invoicing process by verifying invoice content against actual product / service delivery.
  • To provide required data for annual department budget and to ensure that actual expenses are managed as per approved budget.

Other

Performs any other related duties as assigned by the department.

In order to be considered for the role you must have:

Essential:

  • Higher Secondary or equivalent.
  • Completed Task Training and/or Group Trainer programs, or similar course in conducting training to an individual or group.
  • At least 2-3 years of guest-related/customer-related operational background in a supervisor/managerial role.
  • Experience in a Laundry operation, Uniform distribution service, colleague support services structure.
  • Very good command of English language, both verbal and written.
  • Proficient in MS Word, Excel and PowerPoint software programs.
  • Ability to work well with others as a team member.
  • Ability to work as a Leader.

Desirable:

  • Completed /attended the HACCP Level 3 program.
  • Background in a commercial Laundry operation
  • Experience with Automated garment / linen distribution system
  • With knowledge of Kronos or similar ‘time and attendance’ software.
  • With knowledge of Web-based Applications (LOOP) and Purchasing Software Systems (Oracle), LMS.
  • Experience of research, preparation and proposal of yearly budget, with the ability to understand, interpret and analyze Profit and Loss Statements.
