JOB SUMMARY
This position is responsible for providing analytic support (data abstraction, analysis, investigation, reporting and follow-up) for clinical, administrative, and quality indicators from internal and external initiatives to improve patient care and clinical outcomes. Additionally, this position provides data and reports to support quality management, patient safety, performance improvement, and clinical documentation processes.
PRIMARY JOB DUTIES AND RESPONSIBILITIES|
- Develops schedules within assigned Institute for staff physicians, clinical associates, nurse practitioners, nurses, allied health and other resources such as rooms and machines
- Ensures adequate staffing coverage for all services
- Coordinates with medical secretaries, surgical and medical coordinators, physicians and clinical operations to ensure no conflicts
- Builds Epic templates and adjusts day-to-day as required
- Maintains and updates Epic template patterns
- Coordinate schedules to ensure all systems are updated including Amion
- Works with IT to modify blocks, visit types, orders, subgroups and reasons for visits
- Optimizes schedules by monitoring unfilled slots, working closely with PAR team lead to bring forward patients as needed
- Liaises with contact center, patient access and IT teams to troubleshoot scheduling errors
- Coordinates reschedules with PARs and Contact Center
- Active management of overbooks and add-ons
- Assists medical secretaries, protocol and GPS/IPC office for urgent appointment requests
- Identifies areas of improvement to meet access metrics including third next available appointment and waitlist
- Extracts appointment and utilization reports on a weekly basis
- Perform monthly quality assurance and spot checks/audits to ensure appropriate management of templates
- Maintains confidentiality on patient information and sensitive data
- Assists with developing and improving departmental procedures related to the services
- Performs other duties as assigned
QUALIFICATION & EXPERIENCE REQUIREMENTS
Education
- Nursing degree is required
- Minimum of Associate degree is required
Experience
- Minimum of two (2) years of clinical experience and working knowledge of general hospital operations, workflows and clinical documentation requirements
- Minimum of one (1) year experience in a role requiring chart review, analysis of data from a medical record or other technical databases, manipulation, interpretation or routine reporting of data
- Understands the design of healthcare documentation systems (Electronic Health Record, Cardiovascular Hemodynamic Systems, Registry Databases)
- Previous experience reporting to Clinical Reporting Registries (i.e. American College of Cardiology, Society of Thoracic Surgeons, National Surgical Quality Improvement Project), The Joint Commission, Center for Medicare and Medicaid Services, Agency for Healthcare Research and Quality, and Health Regulators required
- Ability to express complex analytical and technical information to Executives or to Institute or Department leads
- Proficient in the use of PCs, spreadsheets and other software applications
- Strong oral and written communication skills
