Job Description:
Directors schedule management:
- Time management and schedule tracking
- Filtering information and documentation flow based on its relevance to the director.
Documentation and Clerical Work:
- Efficiently manage and maintain all necessary documentation and files.
- Accurately file and scan documents as required.
- Maintain detailed and organized records.
Customer Satisfaction:
- Contact customers to assess their satisfaction and experience with various business divisions.
- Actively listen to customer feedback and address concerns.
Marketing Coordination and Follow-up:
- Act as a support for marketing coordination with the director’s office.
- Coordinate and follow up to ensure timely update of marketing tasks.
- Provide support and coordinate necessary follow-ups with external agencies and government authorities.
Events Coordination, Communication and Correspondence:
- Support in coordinating and manage communication between directors, their families, and management for various events, such as annual or monthly gatherings and meetings.
- Assist in planning and executing events, ensuring smooth operations.
- Coordinate other occasions, events for various business units of the group and manage such events and exhibitions.
Representation & Reporting
- Attend internal meetings on behalf of the Director.
- Provide detailed reports on meeting outcomes and relevant updates.
- Act as a professional representative in interactions with clients, partners, and stakeholders.
- Collect agenda and prepare minutes of meeting, follow up on previous meeting updates, implementation, decisions and approvals.
·Mobility & Support
- Accompany the team to external appointments and events as needed.
- Ensure timely and efficient travel with a valid driver’s license
- Manage schedules, appointments, and correspondence.
Coordinating maintenance of personal properties, licenses, travel and staff
- Coordinate with the concerned dept or team for the Maintenance of personal properties like Vehicles, House etc.,
- Coordinate arrangements for travel,
- Manage and coordinate the affairs of Directors personal staff etc.
- Keep track and record of Directors personal trade licenses, vehicles and employees
Flexible Working Hours
Shall be flexible with working hours, based on the director’s needs.
Required Skills and Qualifications:
o Bachelors in business management
o Strong organizational and time management skills.
o Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
o Good drafting and fast typing skills
o Excellent communication skills. Fluency in English, Arabic would be an advantage.
o Ability to multitask and prioritize tasks effectively.
o Experience in administrative and clerical roles.
o Smart & Resourceful: Ability to think on your feet and adapt to various situations.
o Valid Driver’s License: Must possess a valid license and be comfortable driving as part of the role.
o A proactive attitude and eagerness to take on diverse responsibilities.
