Summary
The Project Coordinator manages all off-site project documentation from award to handover. The role also involves organizing Eire Gulf’s internal filing system and ensuring project folders are structured and accessible for all teams.
Key Responsibilities
🔹 Manage work/access permits and ensure compliance with Building Management rules.
🔹 Coordinate with Design and Authority teams to meet regulatory requirements.
🔹 Assign and monitor team tasks, reporting issues to management when needed.
🔹 Support collaboration across commercial, procurement, design, document control, and site teams.
🔹 Implement improved reporting systems for clients and internal teams.
🔹 Develop and maintain document control procedures aligned with company and client standards.
🔹 Supervise and mentor document controllers and ensure proper document management practices.
🔹 Provide training on document control processes.
🔹 Conduct audits of project folders, identify gaps, and escalate non-compliance.
🔹 Ensure all documents meet quality requirements before client submission.
🔹 Act as the main point of contact for document control while enabling the team to independently support Project Managers.
🔹 Oversee preparation of document status reports, revisions, and outstanding actions.
🔹 Provide document summaries and updates to Project Managers and stakeholders.
🔹 Stay updated on industry regulations and ensure compliance with legal/document standards.
🔹 Maintain accurate digital and physical filing systems for all project records.
🔹 Provide cover for Document Controllers during leave.
🔹 Review handover documentation (warranties, TDS, As-Builts) and ensure proper filing before issuing to the client.
🔹 Track Practical Completion and Taking-Over Certificates and obtain client sign-off.
🔹 Support coordination during the DLP period.
