Job Summary
Serve as the first point of contact for greeting visitors and callers to the office and departments. Perform intermediate administrative duties. Answers and direct incomings telephone calls and takes messages, manages office deliveries, utilizes paging system to locate staff and announce meetings. Sends and sort courier and post, maintain all meeting room schedules and appearance, assists with preparation for special meetings and events, places service calls for building management.
Job Duties

- Reception/Front of House duties
- Switchboard Operation
- Greeting and signing-in visitors
- Organize meeting room bookings using Outlook.
- Incoming and Outgoing courier post
- To assist with the organization of all repair and maintenance of the Office equipment
- Scanning / Photocopying / Document Collation
- Manage visitor building car parking
- Prepare and maintain employee register
- Typing up meeting notes, minutes and translations
- Maintain employee contact list with updated details
- Ensuring the reception area is presentable at all times
- Following up on Oracle time card submissions
- Politely answer and direct phone calls to relevant parties
- Handling the visitor access cards
- Coordinate office PRO activities
- Arranging drivers to assign works.
- Any other ad hoc duties as may be required by the Office Manager
Specific Skills Required

- Strong written and spoken English
- Excellent communication skills
- Strong administration skills
- Sound knowledge of Microsoft office can use Word, Excel, Outlook
- Able to prioritize with strong organizational skills
- Shows Initiative
- Reliable
Minimum Requirements

- Minimum 3 years’ experience in the same role
Preferred Qualifications

- Educated to Secondary Education level, additional qualifications will be highly beneficial.
